I’d like to share my experience as a first time organizer of a local EMOM night.
I have difficulties to decide into how much detail I should go, so if you want to know more about specific aspects of the whole project let me know and I’ll elaborate further

So enough people came and you made enough money? How did you advertise the event, did people know everything will be live there before / did they notice or care? Would be very interested if you shared some experiences, as I can’t tell whether people actually notice or care whether things are live.

Alright, let’s start from the back:
We had about 75 guests during the course of the evening [edit: which is an amazing outcome for the premiere of a formerly unknown cultural event on a saturday night in Frankfurt with loads of other offers] and the mood was always great. The admission was free, but we made about €250,- in donations at the door.
We also asked at the door how people got to know about the event and were surprised to learn that the Insta-ads almost had no effect (except for the view and follower numbers, but not in people showing up). Most frequent answer was word of mouth.

One of the most often heard comments was that the audience really enjoyed the variety and spectrum of sonic artistry. Everything being live also played a role in that. We took care to set the order of acts in a manner of music//experimental sounds//music//exp. sounds… I think ‘expectation management’ worked out quite good, also due to our lovely moderator introducing each artist to the audience. Some acts people were dancing, some acts people were sitting and listening closely.

The planning process
First and foremost: Teamwork makes the dream work!
We are a core-team of 4 but many more lent a helping hand with ‘little’ things. And as you can tell by the age of this thread planning started almost half a year ago. We consciously avoided to push things unnecessarily to avoid stress: Take your time when tackling something like this. Labors of love should be fun, not pressure. It also helped to determine certain responsibilities within the team. (Sound, light/visuals, pr and so on…)

Two other things were required as the crucial base for everything else: The room and the PA.
It was clear this needed to be the first things to be sorted out. Everything else would then (hopefully) just fall in place. We were extremely lucky to acquire both for free through personal connections. Super important milestones in realizing the event.

We were then able to set a date and publish the open call to artists. Next milestone was to recieve enough requests to make sure we can fill the night with interesting acts.
(We didn’t dare to reserve walk-in slots because there was no way to guess if enough artists would show up spontaneously. Maybe next time…)

Another point budget: We had none and almost got away with it.
In the end we had costs mainly for promotion (Insta, Posters, Stickers) and drinks (for the artists and the team).
We were able to mitigate the financial loss a bit by what was left in the ‘solidarity funds’ (pay what you want) from the door, after we paid out some gas money to the artists. We split the pot evenly, but many donated their share to the cause.

A thought for the future:
We will attempt to raise some public funding next time. We would really prefer to be able to pay our sound-technician, graphic-designer, photographer and so on.

Also: Keep in mind that time is the most scarce and valuable resource, always. The execution of the evening itself took almost 3 full days because: We needed to bring the PA a day early, prepare the room, and of course we had to break everything down the day afterwards, even clean the toilets. So most of the team and supporters invested themselves friday through sunday.

What else? Communication is king! We used an online whiteboard tool to structure our planning, document the process and protocol our meetings. Coordinating and delegation of all tasks necessary is a ‘job’ in itself and someone in the team needs to take that responsibility and keep an eye on the big picture/maintain that whiteboard so everybody is on the same page. Where are we at?, what’s still missing?, and so on.

Sidenote: Priorities is also a thing. It’s helpfull to differentiate between ‘absolutely necessary’ and ‘nice to have’ things. That makes it easier to decide on what to focus when things become tight.

I think the concept is pretty mature. You can kind of just follow the formula and make it work.
Takes a lot of wo/manpower though, in the end it’s all about the networking.

Nice you’re still going! Will it be “bring your own gear” from now on or will you also let people send in stuff in advance to book sets? I’m wondering how this will work in practice. Would I just bring a Syntakt, pedals and controllers with me and tell you that I’d like to play a set next or what ?

OPEN STAGE means (to us) you can just show up as a walk-in and play.
Of course we welcome it, if artists let us know beforehand, but it’s really not a condition.

Sometimes we have the opportunity to collab with locations where the setting makes more sense to “prebook” a line-up, just to make sure the event plays out nicely. In April we did a show like that during an exhibition/in a gallery for example. But those aren’t labeled Open Stage then…
